OFFICIAL TERMS AND CONDITIONS OF PARTICIPATION


These Official Terms and Conditions of Participation ("Terms") set forth the principles of participation, evaluation, and awarding of the competition ("Competition") organized through LinkedIn within the scope of WorldFood Istanbul by ICA Fuarcılık A.Ş. ("ICA"), a company domiciled at Maslak Mahallesi, AOS 55. Sokak, No. 42, Maslak A Blok Sitesi No: 2/25, 34475 Sarıyer / Istanbul, registered with the Maslak Tax Office under tax number 3230136946 and trade registry number 430499. By submitting the participation form and confirming thereon that they have read the Terms, the Participant accepts the provisions of the Terms.

1. COMPETITION IDENTITY
1.1. The Competition will be announced via WorldFood Istanbul's official LinkedIn account (https://www.linkedin.com/company/worldfood-istanbul), and participation content will be shared through this channel. The official rules of the Competition and the participation form will be accessible on the web page designated by ICA and/or in the competition announcement.
1.2. The Competition will commence on 17 September 2026 at 15:00 and end on 17 December 2026 at 23:59. All times are determined on the basis of Turkey time (UTC+3). The Competition is conducted throughout Turkey.

2. NATURE OF THE COMPETITION AND PARTICIPATION FEE
2.1. Winners of the Competition shall be determined not by drawing, lot, or any other method of chance, but as a result of an evaluation of knowledge, skill, originality, sector-related content, and creativity, conducted by the jury in accordance with the criteria set out in these Terms.
2.2. No separate participation fee is charged by ICA for participation in the Competition. Participation in the Competition is limited to persons who have obtained a valid invitation to the WorldFood Istanbul Exhibition and who have physically visited the exhibition venue during the Competition period. Applications by persons who do not satisfy this requirement will not be considered.

3. PARTICIPATION CONDITIONS AND METHOD OF PARTICIPATION
3.1. A person wishing to participate in the Competition must satisfy all of the following conditions during the Competition period:
● Follow WorldFood Istanbul's official LinkedIn account (https://www.linkedin.com/company/worldfood-istanbul);
● Complete, fully and accurately, the participation form available in the competition announcement and/or on WorldFood Istanbul's official LinkedIn account, providing full name, telephone number, e-mail address, and post link;
● Create an original post describing the value that the WorldFood Istanbul adds to your business, and publish it on your own LinkedIn account using the hashtag #WorldFoodIstanbulNetwork;
● Physically visit the exhibition at least once during the WorldFood Istanbul dates of 15–18 December 2026;
● Keep the content accessible from the date of application until the announcement of results, so that the post and the LinkedIn account may be reviewed by the jury.
3.2. Only posts published on the Participant's own LinkedIn account, with the link submitted through the participation form, shall be considered for evaluation.
3.3. Unless otherwise expressly stated by ICA in the competition announcement, each participant may take part in the Competition with only one (1) valid application. Where the same person submits more than one application, ICA reserves the right to consider only the first valid application.
3.4. Submission of the participation form alone does not, in itself, give rise to any entitlement to a prize. The content must comply with these Terms, the announced technical conditions, and LinkedIn's rules.

4. PARTICIPANT PROFILE, AGE LIMIT, AND DISQUALIFICATION
4.1. The Competition is open to Turkish citizens and foreign natural persons who have reached the age of 18 as of the date of participation.
4.2. Persons who have not reached the age of 18, as well as employees of ICA Fuarcılık A.Ş., employees of Istanbul Expo Center, jury members, and employees of any agency/supplier directly involved in the preparation or conduct of the Competition, may not participate in the Competition. If the participation of any such person is subsequently discovered, their application shall be deemed invalid, and no prize entitlement shall arise even if a prize has already been won.
4.3. ICA may exclude the relevant application from evaluation, or cancel an already-earned prize entitlement, in any of the following circumstances:
● Submission of an application containing information that is missing, incorrect, misleading, or belongs to another person;
● Use of fake accounts, automation, bots, artificial engagement, manipulation, or other methods that undermine the fair conduct of the Competition;
● Sharing of the application or content outside the Competition period, or such content becoming inaccessible during the evaluation;
● The content being contrary to law, public order, public morals, personal rights, intellectual or industrial property rights, or platform rules;
● The content being a copy or constituting plagiarism, or it being determined that the participant does not hold the necessary rights/permissions;
● Failure to submit, within the required period, the documents requested for identity verification or prize delivery, or such documents not matching the information provided in the form.

5. JURY, EVALUATION CRITERIA, AND ANNOUNCEMENT OF RESULTS
5.1. Competition entries will be evaluated on 4 January 2027 by the following jury panel:

5.2. The jury shall evaluate valid applications on a 100-point scale according to the following criteria:

5.3. The final ranking shall be established on the basis of the scores given by the jury members. In the event of a tie, the participant with the higher score under the criterion “concrete and persuasive account of WorldFood Istanbul's contribution to business/professional activity” shall rank higher; if the tie persists, the criterion “originality and creativity” shall be applied. If the tie still persists, the jury shall decide by simple majority. A tie shall not be resolved by lot or drawing at any stage.
5.4. The participants ranked first, second, and third shall respectively become the first, second, and third prize winners. Subsequent valid applications, ranked by score, shall constitute the ranking of reserve/alternate winners.
5.5. The results will be announced on 4 January 2027 on WorldFood Istanbul's official LinkedIn account and/or on the WorldFood Istanbul web page designated by ICA. In the announcement of results, the winners' full names and/or LinkedIn profile information may be disclosed to the extent permitted under applicable personal data protection legislation and the Competition Privacy Notice.
5.6. Participants may submit objections concerning material errors or eligibility to participate to deniz.arisal@icaevents.com.tr within three (3) business days following the announcement of results. The jury's discretion with respect to creative evaluation is reserved.
6. PRIZES, RESERVE WINNERS, AND PRIZE DELIVERY
6.1. The prizes to be awarded under the Competition are as follows:

6.2. Prizes may not be converted into cash. They may not be transferred to third parties, or exchanged for another prize, without ICA's prior written consent.
6.3. If the supply of a prize becomes impossible for reasons beyond ICA's reasonable control, ICA may, without prejudice to the winner, substitute the relevant prize with an equivalent prize of the same or higher market value. Any such substitution shall be announced on the website and/or the relevant social media account.
6.4. The reservation and service conditions of the prize supplier shall apply, without prejudice to ICA's obligations arising from these Terms.
6.5. The initial notification to the winner may be made via the e-mail address and/or social media account provided in the participation form. If the winner fails to submit the required confirmation and documents within the notified period, does not accept the prize, or is found not to meet the participation conditions, the prize entitlement shall pass to the next reserve winner in accordance with the score ranking.
6.6. Prize delivery shall be made within the borders of Turkey, by the method notified to the winner by ICA. For product prizes, the warranty conditions provided by the manufacturer/importer shall apply.
7. IDENTITY AND INFORMATION VERIFICATION
7.1. Prior to delivering the prize and fulfilling obligations arising from applicable legislation, ICA may request from winners, for the purpose of verifying identity and contact information: a copy of the Turkish national identity card, or, in the case of foreign nationals, a passport or other suitable identity document; the Turkish national identity number or the relevant foreign identity/tax number; address and contact information; and any other information and documents required under applicable legislation.
7.2. The requested documents shall be processed solely for the purposes of identity verification, prize delivery, and fulfillment of legal/financial obligations, and only to the extent necessary. Where the information provided in the form materially conflicts with the identity/document information, or where the required documents are not submitted, the relevant participant may be disqualified and the prize entitlement shall pass to the reserve winner.
8. CONTENT, INTELLECTUAL PROPERTY, AND THIRD-PARTY RIGHTS
8.1. The Participant represents and warrants that the content consisting of the text and the LinkedIn post submitted to the Competition ("Content") was created by them, or that they hold all rights and permissions necessary to participate in the Competition with the Content and to grant the usage permissions set out below.
8.2. Ownership of the rights in the Content shall remain with the Participant. The Participant grants ICA a worldwide, non-exclusive, royalty-free license, for a period of five (5) years from the end of the Competition, to use the economic rights of adaptation, reproduction, distribution, performance, and communication to the public by means of the transmission of signs, sounds, and/or images, as regulated under Articles 21 through 25 of the Law on Intellectual and Artistic Works ("FSEK"), solely for the purposes of conducting the Competition, announcing the results, promoting WorldFood Istanbul, corporate communications, archiving, and future exhibition promotions. Within this scope, ICA may use the Content on its own websites, social media accounts, digital and printed promotional materials, and in PR activities, and may permit its use, to the extent necessary, by the agencies and technical suppliers it engages for such purposes.
8.3. Limited to the purpose of use described above, the Participant permits the technical conversion of the Content's format, its shortening, the addition of titles or descriptions, and its adaptation to suit the relevant medium, provided that this does not harm the nature of the work or the Participant's honor and reputation. This provision shall not be construed as a transfer or waiver of the Participant's moral rights arising under FSEK.
8.4. The Participant undertakes that, to the extent the Content includes any work, trademark, trade secret, personal data, or other right-related element belonging to a third party, they hold all necessary permissions, and that the Content does not infringe any third-party rights.
8.5. In the event of a third-party rights claim or a reasonable suspicion of infringement, ICA may exclude the relevant application from evaluation and suspend the use of the Content on ICA's own channels. General legal provisions shall apply with respect to direct damages and reasonable legal expenses incurred by ICA as a result of infringements arising from the Participant's own fault or misrepresentation.
8.6. ICA may, where it deems necessary, request the Participant to additionally confirm, in writing or electronically, the usage permission set out in this Article.
9. PROTECTION OF PERSONAL DATA
9.1. Participants' full names, e-mail addresses, and LinkedIn account/post information, together with winners' identity, contact, and address information, may be processed by ICA for the purposes of conducting the Competition, verifying applications, jury evaluation, announcing winners, delivering prizes, managing objections, and fulfilling legal/financial obligations.
9.2. Detailed information regarding the processing of personal data shall be provided in the “WorldFood Istanbul Competitions Personal Data Protection Privacy Notice,” made available in connection with the participation form.
9.3. Participation in the Competition is not conditioned upon consent to receive commercial electronic communications for advertising and marketing purposes. Should such communication consent be requested, it shall be obtained separately from participation in the Competition.
10. LINKEDIN PROVISIONS
10.1. The Competition is not sponsored, endorsed, administered, or in any way affiliated with LinkedIn, and there is no partnership relationship between LinkedIn and the Competition.
10.2. The Participant is obligated to comply with LinkedIn's terms of use, professional community policies, and any other applicable platform rules.
10.3. If, as a result of a service interruption by LinkedIn, removal of content, restriction of an account, or a platform-related technical issue, an application becomes inaccessible through no fault of ICA, ICA may request that the participant restore the post link or the accessibility of the content within a reasonable period.
11. AMENDMENT, SUSPENSION, AND CANCELLATION
11.1. ICA may, for justified and reasonable causes — including legislation or a decision of a competent authority, platform rules or technical restrictions, force majeure, security risk, fraud/manipulation, circumstances preventing the fair conduct of the Competition, postponement/cancellation of the exhibition, or impossibility of supplying a prize — partially or fully amend, temporarily suspend, update the dates of, or cancel the Competition.
11.2. Where an amendment is made to the Competition conditions that materially affects participants, such amendment shall be announced on the WorldFood Istanbul website and/or WorldFood Istanbul's official LinkedIn account. ICA shall not exercise its right of amendment in a manner that arbitrarily extinguishes participants' vested rights.
12. MISCELLANEOUS PROVISIONS AND CONTACT
12.1. The invalidity or unenforceability of any provision of these Terms shall not affect the validity of the remaining provisions.
12.2. These Terms shall be governed by Turkish law. Mandatory rules of jurisdiction and venue, as well as any mandatory recourse rights that may arise under consumer protection legislation, are reserved.
12.3. ICA's participation form records, application date/time records, jury scoring and evaluation minutes, e-mail correspondence, and accessible social media records may be used to evidence the conduct of the Competition, without prejudice to statutory rights of proof.

13. APPROVAL AND EFFECTIVENESS
13.1. These Terms shall enter into force upon the commencement of the Competition on 15 September 2026. The Participant represents that, prior to applying, they were able to access the Terms, that they have read its contents, and that, by checking the confirmation box on the participation form, they accept its provisions.

PERSONAL DATA PROTECTION INFORMATION NOTICE

This Personal Data Protection Information Notice (“Information Notice”) has been prepared to provide information regarding the processing of personal data of persons participating in the Instagram and LinkedIn competitions (“Competitions”) organized by ICA Fuarcılık A.Ş. (“ICA”) within the scope of WorldFood Istanbul, pursuant to Article 10 of the Personal Data Protection Law No. 6698 (“KVKK” or the “Law”) and the Communiqué on the Procedures and Principles to Be Followed in Fulfilment of the Obligation to Inform.

  1. DATA CONTROLLER

  1. Your personal data are processed by ICA Fuarcılık A.Ş., acting as data controller, with its registered office at Maslak Mahallesi AOS 55. Sokak 42 Maslak A Blok Sitesi No:2/25 34475 Sarıyer / Istanbul, registered with the Maslak Tax Office under tax number 3230136946 and trade registry number 430499.

  1. PERSONAL DATA PROCESSED

  1. Within the scope of your participation in the Competitions, the following personal data may be processed depending on the nature of your participation and the Competition:

  • Identity Information: Full name; for winners and reserve winners only, Turkish ID number and passport information.

  • Contact Information: Email address and telephone number for all participants; for prize winners, additionally the delivery/notification address required for prize delivery.

  • Social Media and Competition Information: Instagram/LinkedIn username or profile information, post link, post/text/content submitted to the Competition, application information, records relating to application date and time, jury evaluation and scoring results, ranking, and objection/communication records. For the LinkedIn Competition, publicly available professional information on the candidate’s profile may also be reviewed by the jury for the purpose of evaluating the candidate’s industry context.

  • Visual and Audio Data: Image and/or voice information if the participant or third parties appear in photographs, carousel posts or Reels content submitted to the Instagram Competition. Whether the content was captured at the exhibition venue will be checked visually; no geolocation data or image metadata will be collected separately.

  • Legal Transaction and Financial Process Information: Records and documents created within the scope of prize delivery, identity verification, fulfilment of tax and other legal obligations, and the handling of potential disputes.

  1. No special categories of personal data are requested for participation in the Competitions. Participants must not include special categories of personal data relating to themselves or third parties in the content they submit to the Competition.

  1. ICA does not request participants’ IP addresses, device information or location information through the participation forms, and such information is not included among the form responses transmitted to ICA via Google Forms. However, data processing activities carried out by the Google Forms infrastructure in connection with the operation of Google’s infrastructure are subject to Google’s own terms and policies.

  1. If third parties appear in content submitted by participants, the badge-lanyard colour preferences applied at the exhibition venue will be taken into account. Content featuring persons wearing green badge lanyards, indicating that they do not wish to appear in photo or video recordings, will not be considered.

  1. PURPOSES OF PROCESSING PERSONAL DATA

  1. Your personal data are processed for the following purposes, depending on the specific processing activity:

  • Receiving and recording Competition applications and checking whether the participation requirements have been met;

  • Communicating with participants within the scope of conducting the Competition;

  • Having the content submitted to the Competition evaluated and scored by the relevant jury and establishing the final ranking;

  • Preventing and investigating circumstances that may disrupt the fair operation of the Competition, such as fraud, fake accounts, automation, bots, duplicate or improper applications;

  • Determining the winners and announcing the Competition results through the WorldFood Istanbul website and relevant official social media accounts;

  • Verifying the identity and contact information of winners, communicating with them, and delivering the prizes;

  • Fulfilling tax, notification, documentation and other legal/financial obligations relating to the prizes;

  • Using Competition content for five years for announcing the Competition, publishing the results, promoting WorldFood Istanbul, corporate communications and archiving activities, within the scope of the usage permissions granted to ICA under the Competition Terms and Conditions;

  • Evaluating participant objections and requests, conducting legal proceedings, and establishing, exercising or protecting ICA’s rights;

  • Evidencing the Competition process and carrying out regulatory compliance activities.

  1. LEGAL GROUNDS FOR PROCESSING PERSONAL DATA

  1. Your personal data are processed on the basis of the personal data processing conditions set out below, as regulated under Article 5 of the Law:

  • Being directly related to the establishment or performance of a contract pursuant to Article 5/2-(c) of the Law: Implementation of the Competition Terms and Conditions, receipt of the application, verification of eligibility, jury evaluation, communication with winners and management of prize delivery processes.

  • Being necessary for the data controller to fulfil its legal obligation pursuant to Article 5/2-(ç) of the Law: Identity verification of winners and fulfilment of tax and other statutory notification, record-keeping and documentation obligations.

  • Having been made public by the data subject pursuant to Article 5/2-(d) of the Law: Use, in a manner connected with and proportionate to the purpose of disclosure, of content and profile/post information publicly shared by the participant on their own social media account for the purpose of entering the Competition, in evaluating the Competition.

  • Being necessary for the establishment, exercise or protection of a right pursuant to Article 5/2-(e) of the Law: Management of participant requests, objections and potential disputes, and conduct of legal proceedings.

  • Being necessary for the legitimate interests of the data controller pursuant to Article 5/2-(f) of the Law, provided that the fundamental rights and freedoms of the data subject are not harmed: Conducting the Competition securely, fairly and in an auditable manner, preventing misuse, maintaining jury and application records, and evidencing the Competition process.

  1. Participation in the Competition is not conditional upon granting consent to receive commercial electronic communications for advertising and marketing purposes. If ICA separately requests consent for this purpose, such consent will be obtained separately from participation in the Competition and from this Information Notice.

  1. TRANSFER OF PERSONAL DATA

  1. Your personal data may be transferred, to the extent necessary and proportionate, to the following recipient groups for the purposes stated above, provided that the conditions set out in Article 8 of the Law are met:

  • To relevant companies/personnel within ICA Fuarcılık A.Ş. involved in the process and to jury members for the purpose of conducting and evaluating the Competition;

  • To suppliers providing support services such as participation forms, information technology, hosting, communications, agency and consultancy services;

  • To relevant prize suppliers and courier/logistics service providers for the procurement and delivery of prizes, and where the first-place prize is provided as a reservation or accommodation service, to the travel agency and/or hotel, limited to the full name, contact and identity information necessary for performance of the service;

  • To financial advisers, independent auditors, lawyers and other professional advisers within the scope of tax, accounting, legal and audit processes;

  • To authorized public institutions and organizations, judicial and administrative authorities for the purpose of fulfilling obligations arising from legislation or conducting legal proceedings;

  • For the purpose of announcing Competition results, the winners’ full names or masked full-name information and relevant social media username/profile information may be disclosed publicly through the WorldFood Istanbul website and official social media accounts only to the extent necessary.

  1. If personal data are transferred abroad due to the publication of Competition content or results on Instagram, LinkedIn and similar social media platforms, or due to the use of service providers located abroad in conducting the Competition, such transfer will be carried out only where one of the conditions for international data transfer set out in Article 9 of the Law is met.

  1. METHOD OF COLLECTION OF PERSONAL DATA

Your personal data are collected through completion of the Competition participation form provided via Google Forms; submission to ICA of Competition posts and post links made on Instagram or LinkedIn; review of content made public on social media accounts for the purpose of the Competition; review of publicly available professional profile information for the purpose of evaluating industry context in the LinkedIn Competition; communication with winners by email and other communication channels; submission of identity and prize delivery documents; and records created during jury evaluation and objection processes, by fully or partially automated means or by non-automated means provided that they form part of a data filing system.

  1. RETENTION OF PERSONAL DATA

  1. Identity, contact, application and evaluation data relating to participants who do not win a prize will be deleted within 30 days after the three-business-day objection period has expired and the jury evaluation has become final. Competition content subject to the five-year usage permission is outside the scope of this period.

  1. Of the personal data relating to winners and reserve winners, data necessary to evidence prize delivery, identity verification and tax processes will be retained for five years in accordance with applicable legislation. Data, such as copies of identity documents, that do not need to be retained after these purposes have been fulfilled will not be retained unless a longer statutory retention obligation applies. Data relating to reserve winners will be destroyed within the scope of Article 7.1 after the prize has been delivered to the primary winner and the need to contact a reserve winner has ceased.

  1. Competition content subject to the usage permission under the Competition Terms and Conditions may be retained and used for five years, provided that such use is based on a valid personal data processing condition under KVKK and is limited to the purposes specified in the Terms and Conditions.

  1. Operational data for which there is no legal retention obligation will be deleted within 30 days after prize delivery or the holiday reservation has been completed.

  1. When the retention period expires or the reasons requiring the processing of personal data cease to exist, personal data will be deleted, destroyed or anonymized in accordance with KVKK and the relevant secondary legislation.

  1. RIGHTS OF THE DATA SUBJECT

  1. Pursuant to Article 11 of KVKK, you have the right to apply to ICA regarding your personal data and:

  • learn whether your personal data are being processed;

  • request information if your personal data have been processed;

  • learn the purpose of processing your personal data and whether they are used in accordance with that purpose;

  • know the third parties to whom your personal data are transferred in Türkiye or abroad;

  • request correction of your personal data if they have been processed incompletely or inaccurately;

  • request deletion or destruction of your personal data within the framework of the conditions set out in the Law;

  • request notification of correction, deletion or destruction operations to third parties to whom your personal data have been transferred;

  • object to a result arising against you through the analysis of processed data exclusively by automated systems;

  • request compensation for damage suffered as a result of the unlawful processing of personal data

  1. APPLICATION METHOD

  1. You may submit your requests under Article 11 of KVKK, in accordance with the Communiqué on the Procedures and Principles of Application to the Data Controller, together with information and documents verifying your identity and substantiating your request, in writing to ICA at Maslak Mahallesi AOS 55. Sokak 42 Maslak A Blok Sitesi No:2/25 34475 Sarıyer / Istanbul, or through the current KVKK application channels published on ICA’s website.

9.2. Your applications will be concluded as soon as possible depending on the nature of the request and, in all cases, within the periods prescribed by the Law.

  1. PROVISION OF THE INFORMATION NOTICE

  1. This Information Notice is made available to participants through the participation form in an accessible manner before, or at the latest at the time of, collection of personal data. Fulfilment of the obligation to inform is independent of any separate explicit consent or commercial electronic communication approval that may also be required.
